Terms and Conditions for transport and accommodation

In order to finalize your booking, we need the following information and or deposits.  At busy times of the year please ensure that you request a quote as early as possible.  ie: Accommodation bookings around Chinese New Year need to be booked at least 4 months in advance



For travel services booked as a group via email or phone only we require:

Confirmation of Quote by email
Total passengers travelling
Person in charge with NZ mobile phone number
Land line number for secondary contact
Start time and finish time


For travel services to ski fields booked from the booking page:

a $5 aministration fee will be charged for cancellations or changes to your booking 
Cancellations can be done without penalty for local trips with 24hr notice for Schools and Institutions and tour operators

For travel services with activity we require:

Confirmation of Quote by email
Total passengers travelling with breakdown for age, students and teachers
Person in charge with NZ mobile phone number
Land line number for secondary contact
Start time and finish time
Confirmation of who is doing RAM’s


Cancellation policy depends on activity provider and we will endeavor to communicate them to you.  For local trips 24hrs for transport applies.


For travel services with activity and overnight accommodation we require:

Confirmation of Quote by email
A rooming list with names (first and family names) number of males and female students and teachers   We request this is returned at least two weeks prior to your first night's reservation.

NOTE: During busy seasons such as Chinese New Year, Easter and School & Public Holidays accommodation can be hard to find.  We make no guarantee of securing accommodation until a deposit is paid and recommend you book tours well in advance


Cancellations made within 1 week of arrival / travel will result in the client being charged for the full amount.
·            Client no shows will be charged in full.
·            A non-refundable deposit of 20% of the total cost of travel is required to confirm a booking and cover administration and accommodation bookings
·            Changes of up to a 10% decrease in numbers of the original size can be made without penalty providing Smylies is notified a minimum of 1 week prior to arrival / travel for half day tours and activities and 2 weeks for for sole use trips during the Chinese New Year period, Japan golden week, NZ school holidays and NCEA periods.
 Any request to increase group size will be accommodated subject to availability and the group will be charged accordingly.


For NZ Schools and Institutions:
We will invoice you after the trip is finished and require full payment within 7 days of the invoice date into our bank account.
For new clients based in NZ and overseas:
We require 20% deposit on confirming the booking and full payment noless than 1 month prior to the trip commencing.

Terms and Conditions
We require you to prepay for your bookings and will charge your credit card at the time for the nights you have booked.
This charge will be made immediately following the acceptance by you of our rooms and prices, subject to these terms and conditions.
Double and twin rooms sleep two people but may be booked for one person only. However, in this situation you will have to pay the full room rate.
Prices are quoted in New Zealand dollars, are subject to change without notice, and all guests are required to pay the overnight price current at the time of reservation.
We will send you a booking confirmation and follow up communications related to your stay to the email address you provided us at the time of booking.
Smylies, its staff and contractors accept no responsibility for personal accidents, injury suffered or loss or damage to personal property while on hostel property. We recommend that all guests hold travel insurance.
Smylies Hostel Managers and staff retain the right to refuse accommodation at any time.
Should your plans change, please contact either the Booking engine you used to book thru or the hostel directly as soon as possible.
Whilst we will do our best to ensure you are accommodated in the same room throughout your stay, due to limited availability at time of booking, it may be necessary for you to change rooms. If applicable, you will be advised of this at check-in. You will be accommodated in a room of similar or higher standard to that originally booked.
Due to limited availability at time of booking, we may provide multi-share accommodation for two or more guests in separate rooms. We will do our best to ensure this does not occur, however should this be necessary we will advise you at check-in.
During special events, additional terms and conditions may apply. Our cancellation policy is also subject to change during these times.
Amendment, non-arrival, cancellation and refund charges:
To amend any booking a NZ$5.00 amendment fee applies per transaction.
Regardless of when you booked, any amendments to your date of arrival cannot be made on the day you are due to arrive. This will instead be treated as a same day cancellation, meaning no refund.
Non-arrival: If you do not advise us that you are cancelling, there is no refund for the first night booked. There is also no refund for any subsequent nights booked which you do not cancel.
Smylies does not accept liability for your booking should you make an error in the selection of your booking dates and the above non-arrival condition will apply.
Cancellations: To cancel any booking a NZ$5.00 cancellation fee applies per transaction.
Bookings made on the day of arrival are non-refundable for the first night if you cancel. Our cancellation rules apply for any subsequent nights.
Where you cancel a pre-paid booking, we will:
Give you a refund (less NZ$5.00 cancellation fee) if you cancel before 6pm on the day before arrival.
Not refund you for the first night if you cancel after 6pm on the day before arrival. However, we will fully refund you for subsequent nights.
Where you cancel an unpaid booking, we will charge you a $5.00 cancellation fee.
If you do not advise us of your cancellation, the non-arrival clause applies.
Refunds for cancelled bookings can be redeemed either by:
transferring the booking to an advance reservation if available but not in the same week as the booking  or being credited back to the original card debited.
Guests smoking in rooms will result in a $250 + GST additional charge. 
Any guest actions that result in triggering a fire alarm will result in a minimum $1500 +GST fine to cover the cost of the call out fee imposed by the NZ Fire & Emergency Service.
This includes, but is not limited to, smoking in guest rooms, excessive use of powders, vaping, sprays or aerosol products outside the bathroom and covering or tampering with smoke detectors.
Guests found to be covering or tampering fire safety equipment will result in a $250+GST fine being imposed as well as eviction from the premises without recompense.
